Markets in Prospect Vendors

Terms & Conditions

from 2nd November 2025 - please read carefully

​PUBLIC LIABILITY INSURANCE

  • is compulsory for all Stallholders. Young entrepreneurs, community groups and charities must also have PL cover.  

  • Individuals must have a minimum of $10mil cover, please be aware that some of our events may require 20mil. 

  • At this time our insurance does not offer vendors public liability cover.

  • Upon acceptance of your stall booking, we will require the vendor to forward their current public liability certificate.

We recommend the following market insurance either as a yearly or per day option.

STALL FEES

REQUIREMENTS

  • An active business Facebook or IG page with a professional business logo is required.

  • Vendors are required to supply ALL of their equipment for their stall set up.

  • If the vendor requires power, this is available at an additional cost of $30. For some of our event, we will not be able to provide power. 

  • If the vendor does not bring a Marquee/Umbrella Marquee for cover, the organiser will refuse entry to the vendor on the day. The stall fee will be immediately forfeited. 

  • If the vendor has powered equipment, all electrical equipment must be tagged and tested.

  • If the Vendor is selling food or food related products, the City of Prospect requires an Eastern Health Authority form (EHA) which must be completed within the time frame that we have asked. 

  • If the Vendor is selling alcohol, the stall vendors must have the required certification as per normal. 

  • Most of our events are held outside. And it is the vendors responsibility to supply a study stall, and secure their stall(s) with minimum 10kgs x 4 water weights. We recommend purchasing 20 litre bottles and strapping your marquee to them if the weather is predicted to be windy. 

  • Vendors MUST set up their Stalls within this time frame and are expected to remain for the full duration of the event unless the organiser has advised you can pack up early. Packing up or leaving early is considered unprofessional and disruptive to the overall experience. Vendors who do so without prior approval from the Organisers will not be accepted to participate in any of our future events. 

  • Stall site positioning will be determined by Management only. However we understand that certain businesses need more shade and we are happy to ensure that you are placed in an area that provides this for you. 

  • The inclusion and promotion of South Australian businesses with locally made products & goods on our socials is solely at the discretion of the event organisers.

  • Stallholders must be transparent with what they are selling. We do not condone dangers activities that will place other stallholders at rest, injury or death. 

  • Stallholders are responsible for taking away all rubbish from the venue. We encourage recycling and sustainability, please dispose of all materials in the appropriate bins provided.​

 

INVOICES

  • All stall bookings must be paid by the date stated on our email invoices.

  • Failure to pay by the date stated, will forfeit the site booked.

  • For the protection of the vendors and our business, all payments are taken only through our website. 

  • Vendors cancelling their stall site, immediately forfeit their payment.

  • Payments for stalls are non refundable and only transferrable if the Organiser has cancelled the event prior to the date of the event.

  • If in the event a Market/stall is cancelled prior to the event date, due to government restrictions or inclement weather, or for other reasons, the vendor's site fee will be refunded (minus gst and any hire of items) or the vendor will receive an offer to another Market date to transfer to. The difference in cost of stall site will be refunded or invoiced.

  • Refunds will be transferred back through our website only.

  • Refunds will take up to 30-60 days.

WEATHER AND EARY DEPARTURE CLAUSE 

Market Continuation in Weather Conditions:

  • The Market is an outdoor event and will proceed in varying weather conditions where it is safe to do so. Weather conditions are outside of the Organiser’s control.

Organiser Right to Modify Event Times:

  • The Organiser reserves the right to delay, shorten, relocate, or conclude the Market early due to weather conditions or any other safety, operational, or unforeseen circumstance. These decisions may be made at any time on the event day.

No Refunds or Credits for Weather or Time Changes:

  • If the Market continues (even in a shortened format), no refunds or credits will be provided to Vendors for:

    • Change of event hours

    • Reduced attendance due to weather

    • Adverse weather conditions affecting sales or comfort

Vendor Early Departure:

  • If a Vendor chooses to leave early for any reason, the Vendor forfeits their site fee in full.

  • Vendors are expected to remain set up and trading for the entire duration of the Market unless instructed otherwise by the Organiser.

PERSONAL CONDUCT

  • ​Vendors who have previously applied and failed to respond to both confirmation and invoice emails will be automatically disqualified from future market participation. We reserve the right to prioritise reliable and responsive applicants.

  • The Organiser/Volunteers will not tolerate negative, aggressive or disruptive behaviour from the vendors at any time and reserve the right to black list the vendor from participating from any of our future events.

We (Markets In Prospect/The Trustee of Powerhouse Trust) do not hold responsibility from expenses arising occurring from theft/damage of the Stallholders goods participating at our events.
